Record a supplier payment from a bank transfer slip in Lejar

Written by the Lejar team3 min read

When you pay a supplier by bank transfer, your bank gives you a slip. In Lejar you can turn that slip into a bill payment: Lejar reads the amount and the date, looks for the bill the slip pays, and fills the payment form. You check it and press one button. This works for supplier payments only. It does not record customer payments from a slip.

What happens when you record a bill payment?

Payments made records money that leaves the business to settle supplier bills. Recording a payment posts a journal entry that debits Accounts Payable and credits the bank account, and it clears the bills it pays. A slip only fills the form faster. The accounting is the same as a payment you type in.

How do you record a payment from a slip?

  • Step 1: on Payments made, press "Upload slip" and choose the photo or PDF of your transfer slip. Lejar reads the amount and the date, and looks for the bill the slip pays.
  • Step 2: or, if the slip is already in the AI Inbox, press "Match" on the slip, then "Record bill payment" next to the bill.
  • Step 3: the payment form opens with the slip amount on that bill. If the slip is for more than the bill, the rest goes to the same supplier’s other open bills, oldest first. Any amount left over shows as not allocated.
  • Step 4: each amount filled from the slip shows "From the slip". Check it, and change it if you need to.
  • Step 5: press "Record payment". Nothing is recorded until you press it.

When does Lejar not fill the form?

Lejar fills no amount when it cannot read the slip amount, when the slip currency is different from the bill currency, or when the bill is already paid. In those cases, fill in the payment form as usual.

What else can you add to the payment?

  • The bank account the money left from, and the payment date.
  • More than one bill: a single payment can settle several bills at once, or part-pay one.
  • Bank or wire charges the bank deducted. Lejar books them to Bank Charges as a separate line, so the payment still ties out to the cent.

Lejar keeps the bill and the payment linked, so each payment traces back to its bill. For a printed record of the payment, see payment vouchers.
